How to Compare Short Term Rental Property Management Companies

A manager and technician inspect a luxury vacation home's grounds and exterior as part of short-term rental property management.

Compare short term rental property management companies by asking each bidder to price the same scope, show evidence of its work and explain exactly what happens when something goes wrong. The lowest commission is not necessarily the lowest-cost arrangement. For a luxury homeowner, the better comparison is credible net income, dependable property care and fewer responsibilities left on your desk.

At Lumina, we believe a proposal should be easy to interrogate. You should understand who handles a failed lock, how expenses reach your statement and what happens to future reservations if the relationship ends. Here’s the process I’d use to build a defensible shortlist.

Give every bidder the same property brief

A comparison breaks down when one manager assumes year-round availability while another accounts for your holiday visits. Before requesting proposals, send everyone the same written brief.

Include the home’s location, bedrooms, distinctive amenities, current condition and any existing reservations. Identify owner-use dates, maintenance concerns and restrictions that could affect rental availability.

Then ask each bidder to return four things:

  1. A defined service scope: What the manager handles, what costs extra and what remains your responsibility.
  2. A financial model: Revenue assumptions, management charges, operating expenses and estimated owner proceeds.
  3. Operating evidence: Sample reports, inspection records and a clear escalation process.
  4. A proposed agreement: Including termination terms, account ownership and transition responsibilities.

You’re not asking for a longer sales presentation. You’re creating a common basis for a decision, so an attractive forecast cannot distract from missing services or weak accountability.

How do short term rental property management companies calculate fees?

A percentage means little until you know what it applies to. Ask whether the commission covers accommodation revenue only or also applies to cleaning charges, pet fees, pool heat and other guest payments. Establish whether booking-channel costs are deducted before or after management fees are calculated.

Next, request every additional charge: onboarding, photography, software, inspections, maintenance coordination, supply replenishment and cancellation administration. Ask how vendor markups work and whether you can see the underlying invoices.

Compare owner proceeds, not the headline percentage

This hypothetical annual example illustrates the calculation. It is not Lumina pricing or a rental forecast.

Annual comparisonProposal AProposal B
Accommodation revenue$100,000$100,000
Management commission18%22%
Management fee in dollars$18,000$22,000
Other management-related charges$6,000$1,000
Other property operating expenses$20,000$20,000
Estimated owner operating proceeds$56,000$57,000

The higher commission produces more owner proceeds in this example because the additional charges are lower. That does not establish which manager provides better service.

For simplicity, the example excludes cleaning revenue and matching turnover costs, taxes collected for authorities, financing, income taxes and capital improvements. Your comparison should disclose those exclusions and account for any cleaning shortfall rather than assuming cleaning always pays for itself.

Require a forecast you can reconstruct

When comparing short term rental property management companies, ask each one to walk you from available nights to expected owner proceeds. A confident revenue number is not enough.

Request a monthly forecast showing available nights after owner use, expected occupied nights, average accommodation rate and seasonal operating expenses. Then ask which comparable homes support those assumptions. Bedroom count alone does not make two properties comparable: pool access, location, condition and usable outdoor space can change the guest proposition.

Occupancy needs a denominator. A home booked for 150 nights out of 200 available nights has 75% occupancy; the same bookings measured against 365 calendar nights look different. Neither presentation is useful unless availability is disclosed.

Ask for a downside case too. What happens if bookings arrive later, rates soften or a repair removes the home from service? Keep the stress-test assumptions identical across bidders. We’d rather discuss a conservative model with clear inputs than an impressive annual total nobody can explain.

Test the handoffs, not just the response speed

The strongest short term rental property management companies can explain the difference between acknowledging an issue and resolving it. Test that distinction before signing.

Illustrative operating scenario: A guest arrives at a private luxury home and cannot open the smart lock. Dinner reservations are approaching, and the owner is on a flight. Ask the prospective manager to describe the response from the first message through restored access.

A useful answer identifies who troubleshoots remotely, what authorized backup access exists, when someone goes to the property and who verifies that entry worked. “We offer 24/7 support” does not answer those questions.

Run a second scenario involving an amenity failure. If a heated pool is not reaching the expected temperature, who checks the equipment, contacts the vendor and updates the guest? Who can authorize a repair or discuss a remedy within agreed limits?

These are tabletop exercises, not requests to manufacture an emergency. Their value is exposing unclear responsibilities before your home becomes the test case. Our guide to choosing local rental management coverage explains why messaging availability and physical service coverage deserve separate scrutiny.

A homeowner compares management fees and a maintenance checklist while evaluating short term rental property management companies.

Ask for evidence with private information removed

Request a redacted inspection report, an example maintenance approval and a sample owner statement. Look for timestamps, assigned responsibility and a record of completion, not just a checklist template.

For cleaning, ask who inspects after turnover and how failed items are corrected before arrival. A cleaning invoice confirms that a service was billed; it does not establish that the home was guest-ready.

For access and property protection, ask how codes are issued and retired, how vendors gain entry and how incidents are documented. Our overview of management services that protect luxury homes provides a practical starting point for that discussion.

If you’re evaluating Lumina alongside other options, you can explore our management offering and request a property-specific revenue estimate. Bring the same questions to us. A fair comparison should make our responsibilities clearer, not require different standards.

Score the evidence before discussing the brand

A weighted scorecard helps compare short term rental property management companies without letting a polished presentation outweigh operational gaps. Set the weights before reviewing proposals, then keep them consistent.

Here is a suggested model, not an industry standard:

Evaluation categorySuggested weightEvidence to request
Local response and escalation coverage25%Named roles, service area and backup arrangements
Financial model and fee transparency25%Monthly assumptions, complete charges and sample statement
Property care and turnover quality20%Completed inspection examples and repair approval process
Reporting and account visibility15%Reporting sample, expense documentation and access terms
Contract and transition terms15%Proposed agreement and written handover responsibilities

Score each category from zero to five. Zero means no usable answer; five means clear, relevant evidence that matches your property. Multiply each score by its weight and divide by five to produce a total out of 100.

The procurement logic is not unique to hospitality. This guide to comparing logistics providers by scope, systems, performance and communication offers a useful parallel for owners accustomed to outsourcing business operations: compare the delivery system, not merely the advertised service list.

Keep certain requirements outside the score. Unresolved questions about lawful rental use, appropriate insurance or authority to manage the home should pause the decision, regardless of the total.

Read the contract as an exit plan

Before choosing among short term rental property management companies, read the agreement as if you will eventually need to leave. A cooperative sales conversation does not replace written terms.

Start with authority. What can the manager spend without approval? Are emergency repairs treated differently? How are owner reserves funded, and when are proceeds distributed? Ask whether repairs carry coordination charges or vendor markups.

Next, review control of the business assets. Establish who controls listing accounts, photography rights, booking records and connected devices. Do not assume listings or reviews can transfer between accounts. Platform rules, account structure and contractual rights all matter.

Termination deserves its own walkthrough. Confirm the notice period, applicable fees, treatment of existing reservations and responsibility for guest communication during a handover. Ask when final statements arrive, how open maintenance items are transferred and when access permissions change.

Also clarify who verifies permits, tax registrations, occupancy limits and community restrictions. Management does not automatically eliminate an owner’s obligations. Requirements vary by jurisdiction, so check current rules with the relevant authority and get legal or tax advice where needed.

A manager who answers these questions directly is easier to evaluate. “We’ll work that out later” is not a transition plan.

Where Lumina fits this comparison

Our position is straightforward: short term rental property management companies should take responsibility for the operating work they promise, rather than quietly returning it to the homeowner.

Lumina’s full-service offering includes listing creation and photography, pricing optimization, booking management, guest communication, cleaning coordination and maintenance dispatch. We also provide owner visibility into performance, occupancy and revenue.

Our guest messaging uses Conduit AI for 24/7 coverage, with under 10-minute average response times. That is a communication metric, not a claim that every physical problem can be fixed within 10 minutes. Owners should evaluate both parts of the service separately.

Smart home integration includes smart locks, noise monitors and connected devices. Revenue management combines dynamic pricing, listing strategy, multi-platform distribution and paid upgrades such as early check-in or late checkout, where available.

Lumina’s offering is backed by Airbnb Superhost status and 611+ five-star reviews. Those credentials belong in your evaluation, but they should not replace property-specific questions about coverage, costs and contract terms.

Ask us to explain how the offering applies to your home, your owner-use schedule and your expectations. That is more useful than assuming every luxury property needs the same operating plan.

Frequently asked questions

What is the difference between a co-host and a full-service manager?

A co-host may handle selected tasks such as messaging, calendar management or listing updates. A full-service manager generally coordinates a broader operation, including cleaning, maintenance, pricing and owner reporting. Labels are inconsistent, so compare the written scope and accountability rather than relying on either title. Confirm who performs the physical work and who pays for it.

How much should short term rental rental management cost?

There is no single appropriate percentage for every home. Location, property complexity, service scope and the fee calculation all affect the comparison. Ask for an annual all-in cost estimate and a sample statement, then test what you would pay during a low-revenue month or a month with substantial maintenance. An apparently low commission can be expensive if essential work is excluded.

Who is the best management company for a luxury vacation home?

The best fit is the company that can demonstrate suitable coverage, credible financial assumptions, property-care standards and acceptable contract terms for your specific home. Review short term rental property management companies using the same evidence requirements. Ask to speak with an owner of a comparable property, with permission, and focus the conversation on reporting accuracy, issue resolution and unexpected charges rather than general satisfaction alone.

Put your shortlist to work

Choose two or three serious candidates, send the same brief and schedule a proposal walkthrough. Resolve unanswered questions in writing before signing, especially anything involving expenses, physical coverage or termination.

I judge a management proposal by how much uncertainty it removes for the owner. At Lumina, our full-service scope gives us a concrete basis for that conversation, from guest messaging and cleaning coordination to maintenance dispatch and reporting.
